  Important Update to our privacy policy

    

 Norfolk County Raynet -- Privacy Statement – May 2018

The purpose of this privacy statement is to advise you of the personal information that the Norfolk County Raynet holds and how we use it.

Who are we?
Norfolk County Raynet is a not-for-profit organisation set up to provide voluntary communications support, using Amateur Radio and other facilities, to recognised User Services including Blue Light, Cat 1 and Cat 2 Responders, and is run by an elected committee of members, for its ordinary members, on a voluntary basis.

The legal basis for processing your data 
When you join or re-join Norfolk County Raynet, we will ask you for some personal information which we will use to provide you with membership, online services,  public and personal liability insurance when performing activities in the community. As you will be about to or have already entered into a membership contract with Norfolk County Raynet, your consent to do this is given when you complete the application forms in print or electronically.

What personal data do we hold?
Norfolk County Raynet will hold your name, call-sign (if applicable), user name, website password, call-out list password, e-mail address, home address, phone numbers and age.

Why we need it
Your information will be used to facilitate contact from committee members providing information on events or requesting support for User Services. Your information is necessary for registration with RAYNET-UK, which provides additional benefits including insurance and accreditation with User Services. The Call-out list (Name, call-sign, general location and contact phone numbers) is used to facilitate contact with members by the relevant committee member(s).

Other than RAYNET-UK, your data will not be given to third parties and is only available to the Club's Committee to operate and run the organisation as outlined above.

We do not hold any personal financial details.

 
Where is it held?
Our website and database systems are based in the EU and we will make every effort to keep your data inside the EU. However, for internal administrative purposes it may occasionally be required for your data to be temporarily transferred outside the EU using secure means to other IT systems in our control. Also we use Google services which again can be based outside of the EU. By accepting this policy you give us consent to transfer your data outside the EU in a secure and confidential manner. Local storage of Membership and Call-out list data is on one PC, and is encrypted and password protected. The Call-out list can be accessed in the password protected Members’ section of the organisations website, the Call-out list is encrypted and password protected, passwords are issued by the Secretary (
secretary@norfolkraynet.org.uk ) on application.

How long will we keep it?
Your details will be deleted from our membership database 12 months after membership expiry.

Call-out lists will be purged immediately on membership expiry.
